Solasta Counselling (“Solasta,” “we,” “us,” or “our”) is committed to protecting your privacy. This policy explains what information we collect, how we use it, and the choices available to you, both in relation to our website and to the counselling and assessment services we provide.
1. Information We Collect
Information you provide directly. When you contact us, book a consultation, or use our website’s contact forms or “Find Your Therapist” tool, you may provide your name, email address, phone number, and information about what kind of support you’re looking for.
Health and clinical information. If you become a client of Solasta, your therapist or psychologist will create and maintain clinical records related to your care, consistent with the standards of the College of Alberta Psychologists, the Alberta College of Social Workers, and the Canadian Counselling and Psychotherapy Association, as applicable to your clinician’s designation. This information is held to a higher standard of confidentiality than general website data and is addressed separately in Section 4 below.
Automatically collected information. Like most websites, we use tools such as Google Analytics and Google Tag Manager to understand how visitors use our site — pages viewed, time on site, and general location (city/region level, not precise location). This data is not linked to your identity and does not include anything you enter in forms.
Booking information. Appointment booking is handled through JaneApp, a third-party scheduling platform. When you book online, you’re providing information directly to JaneApp under their own privacy policy, in addition to us.
2. How We Use Information
We use the information we collect to:
- Respond to inquiries and consultation requests
- Match you with an appropriate clinician through our Find Your Therapist tool
- Provide, coordinate, and bill for clinical services if you become a client
- Understand how our website is used, so we can improve it
- Meet legal, regulatory, and professional record-keeping obligations
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
3. Cookies and Analytics
Our website uses Google Analytics and Google Tag Manager to collect anonymized, aggregate information about site usage. You can disable cookies through your browser settings, or opt out of Google Analytics specifically using Google’s browser add-on. Disabling cookies may affect some website functionality but will not affect your ability to contact us or book an appointment by phone.
4. Confidentiality of Clinical Information
If you become a client, the information you share with your therapist or psychologist during sessions is confidential and protected under the professional and legal standards governing their designation (the College of Alberta Psychologists, the Alberta College of Social Workers, or the Canadian Counselling and Psychotherapy Association, depending on who you see).
There are limited, legally defined exceptions to confidentiality, which your clinician will explain during your first session. These generally include situations involving a risk of serious harm to yourself or others, suspected abuse or neglect of a child or vulnerable person, and situations where disclosure is required by law (such as a court order). Solasta Counselling is not a distress centre and does not provide emergency mental health support — if you are in crisis, please contact the Calgary Distress Centre at 403-266-4357 or visit your nearest emergency department.
Clinical records are stored securely and retained in accordance with the record-keeping requirements of your clinician’s regulatory body. You may request access to your own clinical records at any time; your clinician can explain the process for doing so.
5. Children’s Privacy
Solasta provides therapy services directly to children and teens as part of our practice, with the consent of a parent or legal guardian. Where a child is a client, clinical records are handled under Section 4 above, with parental involvement appropriate to the child’s age and the nature of the concern, consistent with professional confidentiality standards. Our website itself is not directed at children, and we do not knowingly collect personal information through website forms from children browsing independently.
6. Third-Party Services
We use third-party services to operate parts of our practice, including JaneApp for appointment booking and payment processing, and standard email and communication tools. These providers have access only to the information necessary to perform their function and are not permitted to use it for other purposes. Our website may also contain links to other websites (such as Psychology Today or professional association registries); we are not responsible for the privacy practices of external sites.
7. Security
We take reasonable technical and administrative steps to protect the information we hold, including secure storage of clinical records and encrypted transmission of sensitive information submitted through our website. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.
8. Your Rights
Under Alberta and federal privacy law, you have the right to access, and request correction of, the personal information we hold about you, subject to certain exceptions. To make a request, contact us using the information below. If you have concerns about how your information has been handled that we haven’t resolved to your satisfaction, you may also contact the Office of the Information and Privacy Commissioner of Alberta.
9. Changes to This Policy
We may update this policy from time to time to reflect changes in our practices or legal requirements. The date at the top of this page indicates when it was last revised.
